Why NZ Tradies Who Quote Fast Win More Work

Speed is underrated in trade quoting. Why a faster quote often beats a cheaper one for NZ tradies, and how to get your quotes out on the same day.

By Peter Mastras

When a homeowner or project manager rings three tradies for a price, the first one back tends to win a disproportionate share of the work. Most tradies recognise the pattern as soon as they start watching for it. This guide covers why it happens and how to get your quotes out faster without cutting corners.

Why speed often matters more than price

A client who calls has a problem they want gone. They are not going to shop for weeks. The first tradie to reply:

  • Sets the price the others are measured against
  • Gets to shape how the scope is understood
  • Has the client's full attention before anyone else quotes
  • Shows the business is organised and responsive

A client who has your quote the same day as the site visit has already half started with you. The later quotes are compared with yours, not the other way round.

The Sunday night quote pile

Many tradies write quotes in a batch, on a Friday night or a Sunday afternoon after the week's jobs are done. A call on Monday morning then gets a price on Thursday or Friday. By then another tradie has quoted, and the client may have said yes. You did a site visit for a job you were never going to get.

Same-day quoting is an edge

If you can quote the same day as the visit, or before you leave the site, you are doing something most of your competition is not. They can do it, but they have not built the habit or the system. The tradies who win the most of what they quote are rarely the cheapest. They tend to be the quickest and the most professional-looking.

What slows quotes down

  • Pricing from memory: hunting for material costs or trying to recall what you charged last time.
  • Starting from a blank page: a new spreadsheet or document for every quote.
  • Formatting: making the PDF look presentable takes time without a template.
  • Switching modes: sitting down to admin after a full day on the tools is hard going.

Building a faster process

The aim is to shorten the gap between "I have seen the job" and "the quote is in the client's inbox". Practical steps:

  • Use a template that fills in your business details, payment terms and usual lines
  • Keep a reference rate card for your most common jobs
  • Quote from your phone, so a quote sent from the driveway beats one saved for later
  • Send a PDF, not a text message or a handwritten note, so there is a clear record

Fast does not mean careless. Check the scope and the exclusions before you send, because the Consumer Protection website warns that a quote can be misleading if the final cost ends up bigger than the client expected. A quick quote with the scope written clearly protects you better than a slow one with a vague line.

Insta Quotes is built for exactly this gap. You describe the job, by typing it or, on Tier 2 and Tier 3, with a voice note or a photo, and it drafts the itemised lines for you to review, with GST at 15% for New Zealand. The draft is yours to edit, and nothing goes to a client until you send it. Our guide to writing a trade quote shows what a good one contains, and the pricing guide covers the numbers.
